Office Experience Manager

You know those companies where the office just works, events actually happen, and new people feel welcome from day one? That doesn't happen by accident. It happens because someone owns it. That someone is you.
This is a full-time, on-site role based in our Stockholm office, reporting to the CHRO. You'll split your time between two areas: creating and maintaining an exceptional employee experience (around 80% of your time), and supporting our recruitment efforts through sourcing and screening (around 20%).
What you'll do
Office & workspace
Keep the office in great shape: tidy, functional, and genuinely inviting
Own relationships with office suppliers and manage procurement
Partner with IT support to make sure everything just works
Handle logistics coordination for external events, mail, couriers, and deliveries
Culture building events
Lead planning and execution of our annual summer and winter celebrations
Organize micro-events, after-works, and team happenings throughout the year
Own our annual health month from concept to execution
Work environment
Lead our work environment committee
Drive and coordinate safety rounds (skyddsrond) and fire safety work
People operations & Recruitment support
Coordinate and run onboarding intro days for all new joiners
Source and screen candidates across open roles, roughly 20% of your time
Who you are
You take ownership and run with things. When something needs to happen, you make it happen, without waiting to be asked twice or handed a detailed brief. That's not just a trait, it's the baseline for this role.
You're someone who notices the things others walk past. The bowl of fruit that needs refilling, the supplier invoice that's slightly off, the new joiner who looks a little lost on their first day. You don't just notice, you do something about it.
You know how to keep a lot of things moving at once without dropping any of them. You have a system, even if no one else can see it. Priorities shift and you shift with them, without losing track of what was already in motion.
One day you're deep in planning the summer party. The next you're making sure the boardroom is set before an important meeting. You take both equally seriously, and you move between them without friction. That's exactly what makes this role work.
You communicate well with everyone around you: vendors, new joiners, teammates, leadership. People feel taken care of when you're involved, and that's not by accident.
We also expect you to continuously look at how AI can support the areas you own. Not as a checkbox, but as a genuine question: could this be done better, faster, or with more impact? When the answer is yes, you act on it.
What we're looking for
Experience from a similar role is required: office management, event coordinator, or a combination. You know what it takes to run an office and create an environment people actually enjoy coming to.
You've worked in fast-moving environments and know how to create structure without slowing things down. You can point to experience owning something long-term, and you're equally comfortable being the person who just fixes what needs fixing today.
On the recruitment side, prior sourcing or screening experience is a plus, but what matters most is genuine curiosity about the craft. You want to understand how great hiring works, and you're excited about playing a part in the full arc: finding the right people, getting them off to a great start, and helping them stay.
